Administrative Assistant - SickKids - Toronto, ON





We are currently seeking a dynamic Administrative Assistant to join ‘the wonderful world of SickKids’. Complementing the work of (3) Directors (Risk Mgmt., Innovation & Improvement, Strategic Master Planning & Health Systems Integration) by providing exemplary administrative support. In this role, you will act as a resource and a communication link for each Director. You will also work closely with the other Administrative Assistants in the organization on shared initiatives.

Here’s What You’ll Get To Do


  • Calendar management and general support for the Directors

  • Support for key organizational processes/functions – .e.g.: Policy and Procedure database, Risk Assessment Checklist, Emergency Preparedness Command Centre Scribe, Privacy and Freedom of Information requests, Educational program coordination, etc.

  • Providing committee and meeting support including scheduling, minutes, agendas, packages, coordinating presentations and audio visual, follow-up and/or implementation of items resulting from the minutes, etc.

  • Maintaining and supporting office requirements (supplies, equipment, IT systems, etc.)

  • Data management – surveys, data entry and running standard reports

  • Scheduling/supporting large meetings

  • Establishing and maintaining a process for obtaining and tracking insurance certificates

  • Monitor Privacy Office mailbox/voicemail (back-up)

  • Maintaining and communicating departmental policies and procedures to ensure compliance

  • Developing, coordinating and maintaining filing systems

  • Processing expense reimbursements, liaising with appropriate personnel to follow-up on financial matters

  • Handling incoming inquiries, preparing reports and presentation material including slides, word processing and spreadsheets

  • Word processing including transcribing from handwritten material and proofreading documents

Here’s What You’ll Need

  • Minimum of 5 years administrative/secretarial experience

  • Completion of a post-secondary program in a related field

  • Expert knowledge and proficiency in all Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Visio)

  • Superior business writing and editing skills

  • Experience in coordinating minor corporate events and training seminars

  • Experience with matrix reporting (i.e. multiple managers/superiors)

  • Experience using Adobe Professional

  • Experience with updating websites and database development

  • Exceptional interpersonal, oral and written communication skills

  • Proven ability to prioritize work in an efficient and organized manner is essential

  • Flexibility and a willingness to take on new tasks

  • Highly developed analytical, evaluative and problem solving skills

  • Demonstrated high level of judgment, tact and diplomacy in interacting with a wide variety of internal and external stakeholders

  • Ability to work well independently as well as in a team environment

  • Ability to work in a fast paced, work environment with many interruptions and multiple priorities

Employment Type: 1 year CONTRACT
