The purpose of this job is to provide administrative, budgetary and reception services to the Manager, Client Services and members of the Counselling & Disability Services unit. In carrying out the responsibilities of this position the individual will provide assistance and schedule appointments for clients, administer the department’s budget, work closely with the Manager, counsellors, and other members to provide support and liaise with various University departments and offices to coordinate, oversee, and facilitate the administrative needs of CDS.
Education:
Completion of some post-secondary education, with additional training in administration, finance, accounting, bookkeeping (i.e. certificate or post-secondary courses or an equivalent combination of education and experience.
Experience:
Minimum 2 years related administrative support, customer service and budget administration experience in a post-secondary environment is required. Experience working in a counselling environment and/or with people with disabilities is required.
Skills:
Excellent interpersonal skills and the ability to identify students clients in potential high-risk situations requiring immediate counselling assistance, strong verbal and written communication skills and an ability to listen, question and provide information in a clear, and concise manner. This individual requires experience effectively dealing regularly with students with mental health, disability or emotional issues and able to exercise good judgment and sensitivity to their needs. This individual must maintain a high level of confidentiality. Ability to work accurately and effectively with attention to detail while under pressure, setting priorities of multiple tasks with conflicting deadlines, working independently with minimum direct supervision. Knowledge of budget administration (i.e. journal transfers, reconciling, account advances, Concur, SmartBuy etc.) electronic scheduling, advanced word processing skills in a Windows environment, computer spreadsheet skills, knowledge of University procedures and policies.
