Full Time Administrative Assistant - The Salvation Army - Toronto, ON





RESPONSIBILITIES:

• Drafts and types correspondence

• Performs general office duties such as: answers & screens calls, directs & answers inquiries, retrieves & follows up voicemail messages, greets & escorts visitors, maintains filing system (electronically/manually) for Corps, prepares & photocopies church bulletin, designs & prints posters, sends & receives fax/email

• Prepares power point presentations, brochures, flyers, invitations, certificates

• Builds and maintains databases (e.g. employee/volunteer information, contact lists, inventory, hours worked)

• Maintains input into S.A.M.I.S. for corps programs

• Assists financial team as required, building supervision, rental agreements, receipts and donor fulfillment

• Schedules meetings on behalf of Corps Officer, prepares agenda and takes minutes (when required by Corps Officer), types and distributes minutes

• Keeps Corps Officer’s calendar and provides reminders including supporting documentation

• Opens and distributes in-coming mail and processes out-going mail nature

• Maintains office supplies

• Contacts contractors, service people for equipment and/or property maintenance

• Prepares (as specified by Corps Officer) and receives all paper work for various projects and processes (e.g. annual Corps Check-In, program proposals)

• Assists the Corps leaders with projects

• Provides administrative and programmatic support to the Family Services Coordinator and back up to that role during absences.

• Maintains Corps Directory, all rolls pertaining to Corps

QUALIFICATIONS:

• Completed High School plus specialized courses of up to 6 months

• Minimum 1 year prior related experience

• Computer skills, studies/training and experience in specific programs such as Microsoft Word, PowerPoint, Publisher, Excel

• Organization

• Self-starter

• Able to work with volunteers

• Ability to work independently, with minimum supervision


• Courteous, ability to represent The Salvation Army in a positive/pleasant manner in person and on the telephone

• Current clear Criminal Record Check

• On line Armatus Abuse Training


Hours: 37.5 hours per week
