Freedom of Information & Privacy Administrative Assisstant


An excellent career opportunity is available for an individual with knowledge and experience of FIPPA legislation and office administrative practices and procedures.

This position assists the Manager and staff in the Freedom of Information & Privacy (FOIP) Office with day-to-day unit operations in a fast-paced, highly confidential, policy-oriented office environment, and supports the LCBO in meeting its legislative obligations under the Freedom of Information and Protection of Privacy Act (“FIPPA”) by:

• Providing dependable and effective day-to-day administrative and operational support to the Manager and unit staff;

• Reliably and accurately coordinating, documenting and responding to time-sensitive public enquiries for access to information, in accordance with legislative and operational requirements;

• Maintaining the accuracy and currency of the Office’s administrative procedures, recordkeeping systems and information products;

• Appropriately safeguarding confidential and private LCBO information handled by the FOIP office.


Qualifications:
• General knowledge of the principles, procedures and requirements of FIPPA to effectively process routine Freedom of Information requests from beginning to end

• Excellent knowledge of administrative office procedures/processes

• A sound understanding of the LCBO’s structure and programs

• Good knowledge of recordkeeping techniques

• Well-developed analytical and problem-solving skills

• Excellent oral and written communication skills

• Well-developed sense of tact, discretion and good judgment with experience handling sensitive and confidential information

• Thorough knowledge of, and applied skills in, Microsoft Office (Word, Excel, PowerPoint, Outlook), as well as skills in, or the ability to quickly and thoroughly acquire skills in, other commercial software packages such as SharePoint, Adobe Acrobat Pro, and Nordat.

Rate: $25.8983 – $31.2030

POSITION OVERVIEW:

The Administrative Assistant acts as a central component to an evolving, collaborative inter-disciplinary palliative care program with inpatient and outreach (community-based) components by providing support in the areas of reception/public relations, office management/scheduling, record keeping, and interpersonal relationships/communication with administrative, academic, public, lay and professional personnel.

This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.


RESPONSIBILITIES:


  • Assists in managing the office area in conjunction with the Director for Palliative Care, and the Clinical Team Manager, assisting with communication and coordination of activities for the Palliative Care Team

  • Maintains the Director for Palliative Care’s appointment schedule

  • Revises and transcribes reports and articles, using fax, computer and photocopier as necessary

  • Provide support to the Palliative Outreach Team

  • Assists with other functions as indicated by program needs, e.g., schedules, organizes and co-ordinates meetings, takes minutes of business meetings, setting up equipment for presentations, booking rooms, and record keeping

  • Supports and coordinates clinical, academic and educational activities of the Freeman Centre palliative care program

  • Provide support to the palliative outreach Advanced Practice Nurse and physicians

  • Coordinates the on-call physician schedule and scheduling of outreach patients

EDUCATION AND EXPERIENCE:

  • Bachelor of Arts or comparable postsecondary degree

  • Medical Office certificate; Medical terminology certificate

  • 2-3 years of administrative experience

  • Experience working with external partners preferred

  • Experience working in health care setting preferred

SKILLS REQUIRED:

  • Interpersonal and communication skills with a calm and pleasant demeanor and patient and family centered care approach

  • Ability to prioritize duties and display initiative

  • Ability to work independently, but also in collaboration with inter-disciplinary team members

  • Proven organizational and problem-solving skills

  • Ability to handle confidential patient information in a sensitive and discreet manner

  • Accurate keyboarding and word processing skills – minimum speed of 55 w.p.m., Microsoft Office

  • Ability to utilize standard office equipment such as fax, computer, voice mail and dictation system

  • Proficiency with medical terminology
