Facebook is seeking an experienced Administrative Assistant to support 4 leaders on our Canada Sales Team. This team is dedicated to partnering with clients and agencies to develop strategic plans and initiatives that build brand equity and drive product sales.
The person in this role will be responsible for organizing complex calendaring, travel, and events. Additionally, the ideal candidate will have exceptional communication skills, must be extremely detail oriented, and masterful at prioritizing and executing quickly on high-priority meetings/assignments. This person must also have a deep understanding of the Facebook community and a passion for Facebook’s products.
This position is full-time and located in Toronto Responsibilities
- Coordinate a high volume of internal and external meetings for 3 or more Executives
- Manage hectic and complex calendars
- Prepare expense reports
- Coordinate both domestic and international travel arrangements
- Organize internal events, client events, and other big sales initiatives
- General office duties as needed
- Build cross-functional relationships between departments
- Ability to multi-task and change direction quickly
- Ensure and maintain confidentiality of all appropriate communications and documentation
Requirements
- 4+ years of full-time, recent administrative experience directly supporting 2 or more executive members (Director level or above, recent is within last 3-5 years)
- 4+ years of experience coordinating travel logistics on behalf of 1 or more executives
- 4+ years of direct calendar management and expense report management for 1 or more executives
- Excellent computer skills and comprehension of Outlook
- Incredibly organized and detail-oriented
- Ability to prioritize multiple assignments
- Excellent communication skills via all means of communication including telephone, email, written correspondence and in person
- Strong scheduling and calendar management skills
- Strong travel coordination skills
- Knowledgeable about organizing small and large off-site events
- Experience with scaling space management and planning to accommodate regular growth amongst teams
- Thrive in a fast-paced atmosphere
- Ability to hit the ground running and take charge of the position

- Must be able to work collaboratively with admin teams across FB
- Must be flexible and able to quickly react to last minute changes
- Constantly searching for new and exciting ways to strengthen team programs
- Be proactive and self-directed with an ability to take direction
- Active knowledge of how to engage team members and interact with managers to make quick and effective transitions
- Strong work ethic
- An understanding of how to assimilate in a new group with a proven record of solid connections and successful relationships
- Experience at a high-tech company preferred
- BA/BS strongly preferred
