PT Student Support Officer (2 Positions)

Reporting to the Manager, International Student Services, the incumbent will work with the Services and Global Experience (SaGE) team to provide a range of front line services for students, staff, and visitors to the International Education Centre. They will be knowledgeable in the International Education Centre programs, services and processes to disseminate admissions and services information as well as make appropriate referrals to all service users. In addition, the incumbent will support the Services and Global Experience team by contributing to the coordination of the SaGE team’s co-curricular programming that will provide students with an opportunity to immerse themselves in academic, professional, social and cultural aspects of Canadian society. Activities may include updating the student information board, supporting orientations for new international students, ordering A/V equipment for events, promoting on campus programs to current students, etc.


Responsibilities

• Actively engage with service users of the International Education Centre to determine the best support the Centre can provide.
• Maintain and deliver accurate information about services of the Centre and offer assistance with connecting service users to various programs and teams both at the Centre and in the College.
• Answer queries from current students, parents and third parties.
• Act as receptionist for the office, answering the main telephone line and providing timely response to inquiries in person or via email.
• Book appointments with International Student Advisors.
• Communicate with an understanding of intercultural differences and norms of service users; able to recognize and respond appropriately to barriers in intercultural communication.
• Educate students about benefits of internationalizing their College experience by promoting programs of the Services and Global Experience team.
• Support Transition Teams in developing and executing events and activities to help international student immerse themselves in Canadian culture; this may include contributing to conceptualizing activities, coordinating with internal or external service providers, promoting to students, tracking of registered students, booking tickets, participating in events and activities.
• Maintain and update information display boards and handout boards, obtains information from the other departments and services for display in the reception area.
• Update documents of Frequently Asked Questions by international students for office use.
• Provide back-up support to other staff members during peak periods (e.g., Orientation week, special events, recruitment front counter and filing, etc.).


Qualifications

• Enrolled in or graduated from a two year diploma in business, office administration or additional job-related courses or the equivalent education and related, practical experience in admission or customer services
• One year proven recent related experience in a service oriented office environment working with international students (experience in an international student service environment within a post-secondary institution is an asset)
• Demonstrated knowledge of impact of Canada immigration policies/procedures on the status of an international student.
• Strong intercultural communication skills including active listening skills. Second or third language will be considered an asset.
• Demonstrated knowledge of a large on-line computerized record system (eg. the Banner system), PC software and of integrated student information database systems
• Motivated to promote and provide quality student service over the telephone, at the service counter via email, and other online mediums.
• Fluency in Microsoft Office programs, such as Word, Excel, PowerPoint.
• Ability to work meeting deadlines, during peak periods and complete tasks under pressure
• Ability to maintain the strictest confidence regarding student data (in accordance with departmental policies and procedures, and the Freedom of Information Protection of Privacy Act)
• Ability to undertake occasional interim transfer to another campus.
